Defining The Club Caddie Difference

CFO Laura Reed of Alsatian Country Club recognized the need for a new course management software that would streamline reporting, drive operational efficiencies and most importantly, eliminate lost revenues due to a tee-time barter system with the club's legacy GMS vendor. After a neighboring club owner made the switch to Club Caddie, they insisted that Laura take a look. With the help of our team, the upgrade was up and running in no time.

The Problem

As a CFO, Laura understood the need to stay in line with current technology as well as anyone. However, the general perception of a total software overhaul is that the switch would be costly, difficult and time consuming. After all, Laura would be responsible for the implementation and training of her team on the new system. As a semi-private facility, Laura’s requirements were a little different as she needed functionality to manage membership privileges, accounts and billing for around 200 annual pass holders + continue to accommodate for a growing stream of daily fee play. Understanding the complexities that go along with identifying a software solution that can accommodate this type of business model, Laura was naturally reluctant to pursue a change despite growing frustration with her previous vendor.

Like many clubs, one of the biggest pain points driving the decision to make a change at Alsatian Country Club was the realization that the facility was losing thousands and thousands of dollars in tee time revenue annually. Ultimately, the Club did not truly “own” their customers due to an ongoing relationship with their legacy GMS vendor who worked through a tee time barter system.

Our Solution

The transition for Alsatian Country Club started in October of 2022, and hit the ground running much quicker than Laura anticipated. After weekly meetings for a month to get prepared, all heavy lifting within the training process was simplified for Laura and her team. After the Alsatian Team provided all data necessary for the migration — including a customer database and inventory list — they were able to see the transition happen in real time.

Club Caddie completely exceeded expectations for Laura and her club. Her worries about the work required to implement the software were put to ease by an extremely involved, undeniably helpful team of Club Caddie representatives that stuck with her through every step of the process. With the resources she had available, Laura was able to take a step back and let our team handle the migration in its entirety. Alsatian Country Club was able to migrate with zero downtime through the transition, as is expected with any club making a switch.

Laura Reed Quote

Once the Club partnered with Club Caddie, they were amazed by the time-saving features they once thought to be impossible. The all-in-one software seamlessly automated member billing, implemented their entire chart of accounts and sorted product numbers with ease. By taking back control of rates and email distribution, they were able to eliminate third-party tee time retailers and experienced a 25% increase in gross sales.

“Switching to Club Caddie was the best decision we’ve made here. The transition was smooth, the training was top-notch and the software completely exceeded our expectations. It’s transformed how we operate and brought us impressive results in an unbelievably short amount of time.”
